We handle your information in line with the Australian Privacy Act 1988, the Australian Privacy Principles (APPs), and the Privacy and Other Legislation Amendment Act 2024.This policy covers information collected through our website, booking and payment systems, Zoom sessions, emails, and social media.

2. What we collect

When you book a session, purchase a report, course or workshop, or contact us, we may collect:

  • Your name and contact details (email, phone)

  • Your business name and ABN, if you are booking as a business

  • Billing details (payment is processed securely by our payment provider and card details are never stored on our servers)

  • Information you provide for a personalised Human Design, Gene Keys or Life Path Number report — for example, date, time and place of birth, and any intake-form responses

  • Notes, reflections or messages you share with us in the course of a session or by email

  • Session recordings and AI-generated summaries, where applicable and with your permission (see Section 4)

  • Survey or feedback responses

  • When you visit our website, we automatically collect some technical information: your IP address and approximate location, browser and device information, which pages you visit, and cookie data (see Section 8).

3. Why we collect your information, How we use it, What that involves

  • To provide your session, report, course or workshop - preparing and delivering your booking, generating your personalised report, sending confirmations and follow-ups

  • To communicate with you - responding to enquiries, scheduling, and session-related correspondence

  • To send you marketing - newsletters and offers, only if you have opted in

  • To improve our website and services - understanding how people use our site and services so we can improve them

  • To keep things secure - detecting fraud and protecting our website and clients

  • To meet legal requirements - tax record-keeping and responding to lawful requests

We only send marketing emails to people who have opted in. You can unsubscribe at any time.

4. Automated tools and AI, including session summaries

We may use automated tools or AI to help run sessions and the business.

In particular:

  • Client session summaries may be generated using Zoom's AI Companion (or a similar transcription/summary tool).

  • This means the audio, video or transcript of your session may be processed by Zoom's AI systems, which are operated by a third party (Zoom Video Communications) under its own privacy and AI terms.

  • Our website content, business documents and report templates are drafted with the help of Claude, an AI assistant provided by Anthropic, under Anthropic's own privacy and data-handling terms.

  • We use Claude to help build the template and structure of our materials, to organise and process chart information to fit within the report template. All information is interpreted, edited and personalised following an initial drafting process, to ensure a personal and accurate report is generated.

  • We may use website analytics tools to understand site traffic, and chatbots or similar tools to answer common questions.

  • We use Astro Gold to generate your astrology chart

Coaching conversations can touch on personal and sometimes sensitive topics. We will let you know before a session that AI-generated summaries are used, and you can ask for this to be turned off for your session, or ask us not to record a particular session, at any time.

We do not use automated tools to make significant decisions about you without a person reviewing the outcome. If you have concerns about how an automated tool has been used, contact us and we will review it.

5. Who we share your information with

We never sell or rent your personal information.

We share it only with trusted service providers who help us run the business — for example, our website host, payment processor, email platform, booking and calendar tools, Zoom (including its AI Companion feature where enabled), and the Genetic Matrix platform used to generate Human Design charts.

Each provider is only permitted to use your information for the service they provide to us and is required to keep it secure and confidential.

We may share your information if legally required — for example, in response to a court order or lawful government request. If the business is sold or restructured, your information may be transferred to the new owner under a confidentiality agreement.

By using our services, you consent to the collection and use of your personal information as outlined in our Privacy Policy.

5a. The platforms we use, and their own privacy policies

Each provider below only receives the information needed to deliver their part of the service. We recommend reading each one's own policy for how they specifically handle your data, since their practices are governed by their own terms, not ours.

6. Keeping your information safe

Client information is held in two places: digitally, in Google Workspace (with access restricted to Tara Elizabeth Bell and any authorised support staff, and Google's own account security and encryption in place); and, where physical records exist (for example, printed intake forms or notes), in a locked, non-portable file storage unit at our business premises, accessible only to Tara Elizabeth Bell.

6a. Tools and platforms we use

So it's clear exactly who handles your information, here are the tools and platforms involved in running sessions, reports and the website:

  • Squarespace - website hosting, and booking/payment for services

  • Google Workspace - email, calendar, and secure digital storage of client recordsZoom, including AI Companion where enabled — video sessions and, with notice, AI-generated session summaries (see Section 4)

  • Genetic Matrix - generating Human Design chart data used in personalised reports

  • Claude (Anthropic) - an AI assistant used to help draft website content, business documents and templates, create branded Human Design charts based on your information from Genetic Matrix (see Section 4)

  • Our payment processor (PayPal) - handling payments; card details are never stored on our servers (PayPal)

Each of these providers only receives the information needed to deliver their part of the service, and each has its own privacy and security practices governing how it handles data. We suggest you view each providers individual privacy policy to gain more information.

We only keep information for as long as we reasonably need it:

  • Cookie consent records - 12 months

  • When we no longer need information, we securely delete or de-identify it.

7. What happens if there is a data breach

If a data breach occurs that is likely to result in serious harm, we will notify the Office of the Australian Information Commissioner (OAIC) and affected individuals as soon as practicable, let you know what happened and what you can do to protect yourself, and take steps to contain the breach - consistent with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988.

8. Cookies

Cookies are small files saved on your device when you visit our website.
